Email marketing
Write one B2B email to a prospective reader, not a press release or a broad social announcement. The reader should quickly understand why the message is relevant, what the product does, and what action to take. Use the audience and the requested call to action from the brief; do not assume a previous relationship with the recipient.
Subject line and opening
Provide a labeled Subject: line. Make it specific enough to signal the topic or practical value without promising a result that has not been measured. "A clearer way to review equipment photos" is more useful than "The future of inspections is here." Avoid all caps, artificial urgency, and invented deadlines.
Open with the work problem in the brief. One or two sentences about a real task give the reader a reason to continue. Do not claim to know the reader's company, current equipment, costs, or inspection process. If the brief identifies operations and engineering managers, address their shared concern rather than pretending to personalize the email.
Explain value and invite action
Introduce the product in plain language, including the mechanism that makes the benefit credible. For InspectAI, say that it analyzes equipment photographs for visible signs of wear and damage. Then connect that capability to two or three distinct benefits supported by the brief, such as helping teams review photos faster and create more consistent reports. Keep the reader's work in focus; avoid a long inventory of product features the brief does not contain.
Close with one direct call to action. If the request says "schedule a demo," use that phrase or a close equivalent. If no booking link is provided, invite the reader to schedule a demo without fabricating a URL, calendar slot, or contact address. Do not add a second competing action such as downloading a guide. Include a simple closing only if it helps the message; do not invent a sender's name or job title.
Length, tone, and claims
Aim for a body of roughly 120–200 words when the brief calls for a full launch email. Use short paragraphs and sentences that can be read on a phone. A subject line is separate from the body. Do not add a preheader, multiple subject options, or a campaign strategy explanation unless requested.
Use precise, measured wording. "Helps teams review inspection photos faster" stays within the stated value proposition; "cuts inspection time by 50%" does not. Avoid saying the recipient already uses the product, that an inspection was completed, or that a demo has been booked. Before finishing, read the email from top to bottom and check that the subject, opening, explanation, and final invitation all point to the same offer.
